What is eLogbookAI, and how does it work?

eLogbookAI turns a photograph of your theatre list into logbook entries. You photograph the list, the AI extracts each case and matches the procedure against the official taxonomy, you check and correct anything that needs it, and the cases sync into your own eLogbook.org account. Nothing reaches your logbook until you approve it.

Am I allowed to record my cases this way?

Yes. Keeping a surgical logbook is a professional requirement for trainees, mandated by the JCST and ISCP curricula and it supports appraisal and revalidation for consultants too. For your logbook you are in charge of that record ('Controller' in privacy terminology); your Trust remains the Controller of the theatre list for making sure the operations happen safely on the day. Use eLogbookAI within your local information governance and Caldicott arrangements as you would any tool, but recording your own cases is not something you need to ask permission for.

Is it safe to use with patient information?

eLogbookAI is a data conduit, not an archive. Your photo is encrypted in transit and at rest, processed, and deleted as soon as the extraction returns. We have multiple safeguards that are designed to ensure deletion within minutes. Patient details are never added to your eLogbookAI account or any long-term store, and you review every case before it reaches your surgical logbook.

Question 4

Do you train AI models on my data or my patients' data?

Accepted Answer

No. Your images and the extracted cases are never used to train or fine-tune any model. The medical AI reads your theatre list, returns the result, and retains nothing. Every third party involved in processing is named in our Sub-Processor Register.

Question 5

What if the AI reads something wrong?

Accepted Answer

It is built to read real theatre lists, including handwriting, but no extraction system is perfect and nothing here is automatic. Every case is shown to you to check and correct before it syncs, and where the surgical AI is less certain about a procedure match it tells you. Your eLogbook remains the authoritative record and stays editable.

Does it work with my official eLogbook?

Accepted Answer

Yes. eLogbookAI syncs directly into your existing eLogbook.org account, the surgical logbook used across the Royal College of Surgeons of England, the Royal College of Surgeons of Edinburgh, and the Royal College of Physicians and Surgeons of Glasgow for surgical training, appraisal and GMC revalidation. Entries land in your own account, matched to the official procedure taxonomy.

Are you affiliated with eLogbook.org or the Royal Colleges?

Accepted Answer

No. eLogbookAI is independent surgical software built by a former NHS surgical registrar. It is not affiliated with, endorsed by, or connected to eLogbook.org, the RCS, RCSEd, or RCPSG.

Question 8

Do you store my eLogbook password?

Accepted Answer

No. We never store your password. Access uses a short-lived token. This token is stored encrypted, and the key that unlocks it is held in a separate system. A stolen copy of our database would be unreadable – it could not be used to reach your eLogbook. You re-authenticate periodically, which is a security feature, not a bug.

Where is my data processed, and are you DSPT compliant?

Accepted Answer

Data is processed and stored in the United Kingdom, in London. Our NHS Data Security and Protection Toolkit status is published as Standards Met. We are working towards ISO 27001 certification. Our Terms of Service and Sub-Processor Register set out the full arrangement, including every provider in the path.

Who can join the private beta?

Accepted Answer

The private beta is invitation-only and open to GMC-registered doctors who hold a licence to practise, are based in the UK, and are recording their own professional surgical logbook. Request access and we will be in touch. We are onboarding in small groups so that every user gets proper support while the product is new.

Question 11

How will you make money? Will you sell my data?

Accepted Answer

Through paid subscriptions, in time, and the price and terms will always be shown before you buy. Your data is not the product. We do not sell it, share it for advertising, or use it to train AI models. The private beta is free while we learn from the surgeons using it.

Question 12

Is the private beta free?

Accepted Answer

Yes. Invitation-only private beta access is free, with no subscription, hidden charges or commitment. If we introduce paid plans the price and terms will be shown before you buy, and everything you have already synced stays in your eLogbook regardless.

Question 13

What happens to my data if I stop using it?

Accepted Answer

Your eLogbook stays exactly as it is; we only ever add to it. Stopping eLogbookAI changes nothing about the entries already synced. If you want your eLogbookAI account data deleted, email support@elogbook.ai and we will handle it under our Privacy Policy.
